Group Trouillet’s successful transition to digital invoicing with Quadient’s intelligent document automation solution

Groupe Trouillet, founded in 1957, is a French family-owned company specializing in the body building, maintenance, and rental of industrial and utility vehicles. Led by a third generation of Trouillet, Groupe Trouillet is headquartered in Morangis and operates throughout France with three factories and 11 agencies that manufacture, sell, and rent trucks of all sizes, including a fleet of over 4,000 used vehicles for sale and 2,000 for rent.

An eye on the future while preparing for regulatory compliance

Groupe Trouillet had been a long-time customer of Quadient, with each of its locations equipped with a Quadient mail machine that facilitates the sending of invoices, contracts, and other business-related documents. While the machines have been performing well, Fabien Fontgarnand, Groupe Trouillet’s Director of Information Systems, is embracing technological advancements so that the company stays ahead of the times. Incidentally, since 2020, all companies in France must issue digital invoices for payment requests for contracts with the State, local authorities, and public institutions, which are amongst Groupe Trouillet’s clientele. Electronic invoicing will also be mandatory for medium and large enterprises starting in 2026.

“We kicked off this ‘dematerialization’ initiative so we can stay ahead of the curve. We are now well on our way and can take on any future regulatory changes, such as the use of certified platforms that will soon be mandatory,” explained Fontgarnand.

Budgetary considerations also motivated the decision to dematerialize paper-based mail. Moving to digital mail is more economically viable when considering the cost of paper, ink, and postage. With approximately 1,000 invoices per month for rentals and 25,000-30,000 annual invoices for agencies, the savings quickly add up from reducing physical mail.

To get started in its digital transformation, Groupe Trouillet collaborated with Quadient to explore an ideal framework for its operations. The company decided on a mix of hardware and software solutions to meet their multi-channel mailing needs.

Quadient’s intelligent document automation solution is a secured and certified platform for multi-channel document delivery, which also includes electronic registered mail. Quadient’s professional services team worked closely with Groupe Trouillet to integrate the software with their ERP system according to their specifications. Quadient also guided Groupe Trouillet employees through the implementation process and trained users through online sessions, ensuring a smooth adoption.

Employees welcomed the new tool with open arms, with 30 staffers in Groupe Trouillet’s agencies and headquarters now using the Quadient solution daily and benefiting from a smooth, simple, and speedy process. On the client side, the transition was also well received, with most clients eager to go digital and just a few still preferring to receive paper invoices. With the Quadient solution, paper mail is still an option, so clients can make the transition at their own pace.

Leveling up for improved operational efficiency and employee satisfaction

Similarly, the debt collection team optimized their processes with the electronic registered mail tool, allowing them to dedicate their time to more value-added tasks. In addition, Groupe Trouillet was able to reduce the number of their mail machines to three to handle the few documents that still need to be printed and mailed out, such as registration certificates.
