International standards

The ‘EN 16931’ EU standard outlined by the EU ‘Directive 2014/55/EU’ was adopted by ZUGFeRD with the introduction of ZUGFeRD 2.0 in March 2019, surpassing ZUGFeRD 1.0. 

XML file format

Although the ZUGFeRD invoice is sent as a PDF file, embedded within it is the structured machine-readable data in XML format. XML has the benefits of being non-proprietary and a standard format, meaning it can be both encoded and read by a wide range of software.

PDF/A-3 file format

The ZUGFeRD invoice takes advantage of another non-proprietary standard, the PDF/A-3 format which allows for the embedding of XML data and the convenience of long-term filing for digital invoices.

The ZUGFeRD is in essence a visual invoice that incorporates an invisible level of XML code. Visually, it looks like a standard invoice with all the typical information:

Header information

 This section contains details about the sender and recipient, such as names, addresses, contact information, and tax identification numbers.

Invoice items

Line items listing products or services provided are included, each with their description, quantity, price, and total amount.

Total and payment information

Subtotal, taxes, any discounts, as well as the final total amount due are included, along with payment terms and methods.

The most recent version of ZUGFeRD is 2.1.1., surpassing ZUGFeRD 2.0. Released on October 12th, 2021, it is widely compatible with a number of different standards including the German ‘XRechnung’ and French standard ‘Factur-X’.

The addition of UN/CEFACT Cross-Industry-Invoice (CII) compatibility to the ZUGFeRD invoice’s XML is allowing for the ongoing and widespread adoption of the standard.

Thanks to the German e-invoicing forum (the creators of ZUGFeRD)’s ongoing efforts to ensure that the ZUGFeRD standard does not rely on any third-party software, and its continual development, adoption in both the public and private sectors has been considerable. This is especially true in Germany, where continuing efforts are being made to make it the national standard.

The incorporation of CII compatibility means that the ZUGFeRD invoice can be read by all quality European e-invoicing software, boosting the adoption of the format across all sectors at every scale.
