HM Prison Service - Special Format Scanning Success Story
As an Executive Agency of the Home Office, HM Prison Service fulfils the vital role of effectively executing the sentences of the courts to reduce re-offending and to protect the public. Across 138 prisons nationwide 44,000 members of staff care for around 72,000 people at any one time. Each prison consists of numerous buildings which include - aside from prisoner accommodation - office and maintenance areas, support and amenity buildings too. The Property Services Group is the central co-ordinating department within the Prison Service to deal with the development and maintenance of prison facilities.
With such a large number of facilities in their care, many of which include buildings that are now centuries old, the Property Services Group houses a collection of historical plans and documents. Whilst all their documents are now stored electronically, back in 1995 this was not the case. A hundred plan chests filled a whole floor of office space, file location and retrieval was a lengthy process, and an organisational review was underway. Following a tender process that included practical scanning assessments alongside traditional requirements.
